Sampling Custom Packaging: What Happens in the 15 Days

Sampling is the stage where a custom packaging project is quietly won or lost. Not because 15 days is long — but because the quality of what you put into those days decides whether the sample that comes back is approvable, or whether the project restarts. Here is what actually happens during sampling, stage by stage, and how to get the most out of it.

Why the sampling stage decides the whole project

A custom box — wooden, lacquered or leather-wrapped — is built to your drawing before it exists as an object. Every assumption you leave vague becomes a decision someone else makes on your behalf. Sampling exists to convert assumptions into decisions while they are still cheap to change: a colour corrected on a sample costs a revision round; a colour corrected after mass production costs the batch. With 18 years of production behind us, we can tell you that almost every problematic order traces back to a rushed or skimmed sampling stage.

What happens in the 15 days

Our sampling process takes about 15 days and includes 3D digital proofing and 2 rounds of revisions. In practice it runs in three overlapping phases: first the structure and artwork are confirmed as a 3D digital proof, then the physical sample is made by the same processes that will run in production, and finally your feedback is worked through in up to two revision rounds. The goal of the stage is simple: when you approve, you are approving the exact object that mass production will reproduce.

Step 1 — 3D digital proofing: decisions before material

The 3D proof is where structure, proportions, colour direction and logo placement are locked in without waiting for a workshop slot. It is far cheaper to discover that your logo crowds the lid edge, or that the box proportions fight the insert layout, in a digital render than in a machined panel. Treat the 3D proof as a real approval gate: check dimensions against your product, check the grain or finish direction, and check every logo position — not just the hero one.

Step 2 — the physical sample

Once the digital proof is confirmed, the physical sample is produced using the same materials and processes intended for the batch: the same board, the same lacquer layers, the same interior lining. This is why a proper sample can be judged with confidence — gloss level, colour under light, hinge feel, insert fit and closing weight are all real. Judge the sample in the environment it will live in: retail lighting for shop packaging, daylight for e-commerce inserts, and always with your actual product inside.

Two rounds of revisions: how to use them well

The sampling window includes 2 rounds of revisions, and how you spend them matters. The efficient pattern is to collect all feedback internally, consolidate it into one written list per round, and send it at once — rather than drip-feeding single comments. Prioritise changes that affect structure and materials (dimensions, insert layout, lacquer colour) over cosmetic micro-adjustments that production tolerance will blur anyway. A disciplined buyer usually reaches an approvable sample within the two included rounds.

What to prepare before you ask for a sample

The single biggest accelerator is complete input. Have these ready before the sampling clock starts:

Artwork	Logo and print files in AI, C4D or PDF format
Product dimensions	Length × width × height of the item(s) the box must hold — plus a physical product if possible
Material direction	Wood, lacquer or leather; finish reference (gloss / matte); colour reference or Pantone number
Structure	Box style, lid type, insert layout, any magnetic or hardware closures
Branding	Logo positions and preferred finishing method

The mistakes that cost buyers the most time

Three account for most delays. First, sizing from memory instead of from the product: an insert cut to assumed dimensions never fits. Second, judging colour from a phone screen instead of from the physical sample under real light. Third, changing the structure after the digital proof was approved — which resets part of the sampling rather than amending it. All three are avoidable, and none of them is about the factory.

From sample approval to mass production

Once the sample is signed off, production runs about 30 days, with quality checked at every process step before moving to the next — and third-party inspection is accepted if your programme requires it. Payment is by T/T with a 30% deposit and the balance before shipment, and we ship EXW or FOB from Guangzhou, with express delivery via DHL, FedEx and UPS for smaller volumes.
